Purpose and boundaries

This guide describes an administrative way to handle cancellation, rescheduling, refund and scope-change questions connected with care in China. It does not decide whether a cancellation is legally valid, medically appropriate, insured or financially recoverable.

The provider, insurer, travel supplier, bank and ChinaCareAccess may each have different responsibilities. Terms are case-specific and must be written by the responsible party. ChinaCareAccess can coordinate questions but cannot promise a refund, appointment, visa or outcome.

Freeze the facts

Create a timeline with the booking or request date, payment dates, planned service and travel dates, notices received, and the date you want to cancel or change. Save the quote, invoice, terms, receipts and every message. This prevents a later reply from silently changing the record.

Describe the requested action precisely: cancel everything, move a date, change one service, reduce scope or ask for a credit. Name who requested the change and why, without adding unnecessary medical detail. Ask for confirmation that the recipient understands the exact request.

Read the written terms

Look for notice deadlines, deposits, non-refundable items, administrative fees, rescheduling windows, credits, currency rules and the party authorised to approve a change. A heading such as “no refund” should not be treated as a complete answer; ask the responsible party to explain how it applies to this transaction.

Government consumer guidance says cancellation consequences depend on the contract and fairness rules in the relevant jurisdiction. Those examples do not automatically govern a China-based provider or your own policy. Confirm which law, contract and payer actually apply before relying on any general statement.

Request the options

Ask for a written choice set: keep the original plan, move the date, change the scope, receive a partial or full refund if available, or receive a credit. For each option request the amount, currency, deduction, expiry, processing time, new obligations and whether third-party charges remain payable.

If the provider changes an essential term, ask what notice was given and what acceptance or cancellation deadline applies. If you change your own plans, ask for the calculation of any charge and the evidence of costs retained. Do not accept a replacement date or credit until its terms are clear.

Reconcile money and records

Match every payment to the invoice and identify the party holding it. A refund may travel through a different route from the original payment and may be affected by bank or currency conversion fees. Request a transaction reference and written confirmation when a refund or credit is initiated.

Keep the original terms beside each revision and mark which version you accepted. If amounts conflict, pause new transfers and ask for one consolidated statement. Do not send card data, identity documents or sensitive records merely to ask a process question.

Practical handoff

Prepare a concise request containing the case reference, service category, relevant dates, payments made, desired option and the exact questions still open. Ask the provider or payer to answer in writing and identify the person or team responsible for the decision and deadline.

Use the ChinaCareAccess CTA to request a minimum cancellation, refund and change checklist. Review the written reply before confirming travel or accepting a replacement scope. Keep a dated copy of your request and the final decision for future reconciliation.
