Purpose, dates and limits

This guide is an administrative checklist for arranging a visit to China when public holidays, adjusted workdays or peak travel may affect timing. It covers appointment logistics, language support, payment, document or item collection, ground transport and accommodation; it does not provide clinical advice or guarantee access to any service.

The State Council notice for 2026 lists holiday periods and adjusted workdays, and encourages staggered travel, but a national notice does not prove that a particular hospital, office, courier, hotel, driver, rail service or airport counter will operate as planned. Recheck the applicable year and location before relying on a date.

Build the holiday calendar

Start with the official holiday notice for the year of travel and mark both the holiday period and any Saturday or Sunday designated as a working day. Add local school breaks, major exhibitions, weather risks and the provider's own closure dates only after confirming them from the relevant authority or service operator.

For every milestone, record the city, local date, local time, responsible organisation, confirmation date and latest change deadline. Keep the original written reply with its version or timestamp, because a calendar entry or travel website summary can become stale and cannot replace the provider's current notice.

Confirm appointments and interpreting

Ask the receiving organisation to confirm the appointment date, arrival window, registration location, identification requirements, language support and what happens if a holiday closure or adjusted workday changes the slot. Request a named operational contact and ask whether a late arrival is treated as cancellation, rescheduling or a new request.

Treat interpreting as a separate service line: confirm the language pair, on-site or remote format, hours, handoff point and whether the interpreter only translates administrative communication. ChinaCareAccess can coordinate a written question list, but the organisation and interpreter must confirm availability and the interpreter must not be treated as a clinician or decision-maker.

Sequence payment and collection

Check when the payment desk, cashier, bank channel or online payment route is open during the holiday and adjusted workdays. Ask whether a deposit, authorisation, receipt, refund or currency conversion must be completed before a stated cut-off, and keep a dated written answer rather than assuming that an appointment confirmation includes payment access.

For documents, samples or other authorised items that must be collected, confirm the exact collection point, opening hours, release authority, packaging or identification rules, storage window and named handoff owner. Do not send full medical records, passport numbers or payment credentials through an informal chat merely to accelerate collection.

Plan transport and lodging buffers

The Ministry of Transport's 2026 Spring Festival plan treats the period as a coordinated, high-demand transport operation, which is a reminder to check current rail, road, airport and local traffic notices. Reserve arrival time for queues, security, road controls and weather, and avoid placing a fixed appointment immediately after a long transfer.

Book lodging near the confirmed destination only after checking its holiday reception hours, cancellation terms, accessibility needs, invoice method and late-arrival process. Ask the actual hotel, carrier, rail operator, airport or licensed driver to reconfirm the service shortly before use; a ChinaCareAccess coordination note is not a transport or lodging guarantee.

Create a change and handoff record

Use one dated table with columns for milestone, local time, owner, confirmation, latest change deadline, fallback and next action. If a holiday closure or peak-demand change occurs, record who announced it, which item moved, what remains valid and when the next written update is due; do not silently copy an old date into a new itinerary.

When requesting help from ChinaCareAccess, share only the minimum non-sensitive coordination needed, such as city, date window, service category and the question for the responsible operator. Ask for a written checklist or a confirmation summary, and independently verify every final appointment, payment, collection, transport and lodging detail before travel.
