Purpose and boundary
This guide helps an overseas visitor organise lodging and ground transport around care dates in China. It is an administrative worksheet, not a recommendation of a hotel, carrier, hospital, route, or clinical schedule.
ChinaCareAccess can help organise questions and record confirmations, but it cannot guarantee a room, vehicle, ticket, appointment, visa outcome, accessibility, price, or travel time. Service details can change, so confirm them with the responsible provider before paying or travelling.
Build a dated plan
Start with the written date, time, and location you are planning around, then add arrival, check-in, local transfer, and departure windows. Keep a buffer for border processing, traffic, train changes, fatigue, and provider rescheduling; do not treat an estimated journey time as a promise.
Write each item as a small checkpoint: booking status, cancellation terms, address in Chinese, payment status, and the person or service that must confirm it. Keep the original confirmation and a translated summary together, with the date you last checked each detail.
Accommodation checks
Before selecting lodging, ask whether the property accepts your travel document and can complete the required foreign-guest accommodation registration. China’s National Immigration Administration says hotels submit registration information, while non-hotel stays generally require the visitor or host to register with local public security within 24 hours; check the current rule and local procedure.
Confirm the exact address, check-in hours, deposit, cancellation window, lift or step-free access, late-arrival process, and whether the room can support your non-clinical needs. Do not send passport scans or other sensitive data through an unverified channel; share only what the responsible booking or registration process requires.
Ground transport checks
For rail travel, use China Railway’s official 12306 website, app, station counter, or hotline and follow its identity-verification and ticket rules. The official Shanghai government guide notes that a passport can be used at a station counter and that 12306 is the official railway customer-service website; recheck the current route, station, ticket, and change terms.
For taxis, ride services, metro, or an arranged vehicle, confirm pickup point, language support, luggage limits, payment method, accessibility, and what happens if the appointment time changes. A map pin is not enough: keep the written address and a Chinese-language destination card available offline.
Fallbacks and responsibility
Prepare at least one fallback for each critical leg: a refundable lodging option, a later or earlier transport option, and a local contact route for a delay. Record the financial exposure before committing, including deposits, change fees, and the cost of an extra night; ChinaCareAccess cannot absorb or promise those costs.
The traveller decides whether the plan is affordable and workable, while the hotel, carrier, transport operator, and relevant authority own their respective rules. If a confirmation is missing, pause the irreversible purchase and ask the responsible party for a dated written answer.
ChinaCareAccess handoff
Send ChinaCareAccess a narrow coordination question such as “Please confirm the non-clinical timing and location details I should use when arranging lodging and transport.” Include only the minimum dates, city, and logistical question; do not include a full medical history, passport number, or unnecessary personal details.
When a reply arrives, compare it with the provider’s written confirmation and official travel source, then save the version and date. If the dates, location, or travel rules change, restart the checks rather than relying on an older message; this guide does not bypass official booking or registration channels.
